Reimagined onboarding process improves experience for new staff hires and hiring managers

NDHR embarked on a multi-year journey to transform the way employees interact with its services and offerings. Last year, it launched the Self Service Center, providing colleagues with real-time and relevant information, a searchable version of the University’s organizational chart, a 24/7 virtual agent to assist with questions, and interactive case management for questions. This was the first of many phases of NDHR evolving its services.

The second phase of this transformation focuses on central staff onboarding.

Onboarding a new employee is a critical moment that sets the foundation for the rest of their career at Notre Dame. NDHR, in partnership with OIT, is excited to reimagine the staff onboarding experience to ensure new staff employees and people leaders are set up for success. Onboarding Journeys, a new addition to the Self Service Center, will contain all central onboarding components, such as a history of the University and information on direct deposit and Employee Resource Groups.

“We spent a significant amount of time re-evaluating the process from the time an individual accepts an offer, through their first 90 days on campus. We think this new process will streamline and clarify communications, provide information to new staff members and people leaders in a more consumable way, and bring clarity to many facets of the onboarding process,” Vice President for Human Resources Heather Christophersen says.

Onboarding Reimagined delivers key information at strategic intervals in a staff member's first 90 days, including:

  • Learning about the University's history, mission and vision
  • Completing necessary paperwork such as I-9s, benefit enrollment and direct deposit forms
  • Exploring resources on campus that are designed to help them thrive at the University of Notre Dame

For people leaders, the new process provides clear and robust support as they welcome new staff. Onboarding Reimagined gives hiring managers:

  • Assigned tasks to help them prepare for their new staff member
  • Increased visibility in their new employee's onboarding process

At this time, the new process only applies to staff members who are new to the University. Future phases of HR Transformation plan to include internal transfers and offboarding.
